Memberships: general information and configuration

How to get started with Memberships?

Offer your visitors long-term access while increasing your recurring revenue — all with less manual work. Here’s everything you need to know about setting up and managing memberships with Convious.

Getting started

To enable memberships for your venue, please contact your Customer Success Manager. Once enabled, you can start configuring your membership products in the Control Panel.


How to configure memberships

  1. Create a new category
    Go to the Products section in your Control Panel and click Add new category.
    In the Checkout flow type, select Memberships.

  2. Add a membership product
    Inside your new category, click Add product and choose product type Memberships.

  3. Set up pricing and payment plans
    In the Edit pricing tab:

    • Memberships are valid from the moment of purchase for a full year.

    • Choose available payment options: Yearly, Monthly, or Both.

    • Set up renewal rules:

      • No renewal (membership expires after one year)

      • Renew with the same plan (yearly stays yearly)

      • Always renew monthly, regardless of the original choice


Managing memberships

Navigate to the Memberships page in your Control Panel to view and manage all members.

  • See all memberships, including status, expiry, and next renewal date

  • Click on a member to:

    • View and edit details

    • Change a photo or add a note

    • Cancel a membership via the 3-dot menu

    • Refund the last payment (scroll to the bottom of the member details page)


Payment retries and overdue members

We automatically handle failed recurring payments:

  • If a payment fails, we retry 3 times:

    • Day 3

    • Day 7

    • Day 14

  • Members are notified via email after each failed attempt.

  • If all retries fail:

    • The pass is automatically blocked

    • All future reservations are cancelled

    • Member status changes to Overdue


Visitor self-service: My Account

Members can manage everything themselves:

  • View all active memberships

  • Disable auto-renewal

  • Update payment details

Using discount codes for memberships

You can offer discount codes for memberships to support promotions or partner campaigns.

  • Both flat amount (e.g. €10 off) and percentage (e.g. 10% off) discounts are supported.

  • If a monthly payment plan is used, the discount is evenly distributed across all payments.
    This avoids applying the full discount to the first payment, which cannot be fully verified at the time of purchase.

Supported payment methods for memberships

Currently, memberships can be paid with the following payment methods in case auto-renewal or monthly payments have been enabled:

  • Credit cards: e.g. Visa, Mastercard, and Cartes Bancaires

In case auto-renewal or monthly payments have been disabled, all regular payment methods can be used. In these cases, the payment method does not need to be stored. 

Payment detail management

Members can update their payment details at any time via My Account, ensuring uninterrupted access and reducing support requests. Once a new payment method has been entered, the system will validate the customer's card without a charge by performing an authorization for a zero-amount transaction (Adyen's Dynamic Zero Auth).

Adyen Account Updater

We’ve integrated Adyen’s Account Updater service to ensure seamless recurring payments.

This service helps keep card details up to date and minimizes payment failures. Updates can be triggered in cases like:

  • A new expiry date is available for an expired card

  • A card has been replaced

  • A card was reported lost or stolen

  • A shopper has revoked authorisation for recurring charges

With this functionality, you can maintain a smooth and reliable payment experience for your members, even when their card details change.
