Prefixes can save you, your customer service team, and most importantly, your visitors a significant amount of time. By implementing a clear and logical prefix system, you can streamline processes, reduce errors, and enhance the overall user experience.
How Prefixes save you time
Frequently, our partners encounter issues where codes don't work because they are used in the wrong context. For instance, a Bronze annual pass holder might try to book tickets in a Gold annual pass flow, leading to confusion and delays.
Common Scenario:
- Issue: A customer complains that their code isn't working for adult tickets in a group booking campaign.
- Current Process: You download reservation files, locate the code, and determine its usage.
- Complication: If customer service lacks access to code pages, it becomes a multi-department task, causing delays.
With Prefixes:
- Scenario Resolution: "I see you are using code
GBC12345
for an adult ticket. The prefixC
indicates that this voucher is valid for child tickets only." - Benefit: Instant clarification, quicker customer service, and reduced workload for the code department.
How to set up Prefixes
Avoiding ambiguous characters
To prevent confusion, avoid using characters that can be easily misinterpreted:
- O (capital O) vs. 0 (zero)
- I (capital i) vs. l (lowercase L) vs. 1 (one)
Ticket Barcodes
Generated Barcodes
- Access Control Panel: Go to
Venue -> Codes -> Add new
. - Popup Details:
- Pool Name: Easily identifiable name.
- Barcode Format: Use QR format for clarity.
- Pool Type: Select Generated.
- Barcode Prefix: Enter your chosen prefix (e.g.,
BR
for Bronze annual passes).
Uploaded Barcodes
- Generate Codes: Use Excel, Google Sheets, or online tools.
- Save File: Ensure it is in CSV UTF-8 format.
- Upload File: In the Control Panel, select Pool type Uploaded (prefix option not available here).
Reservation Codes
Prefixes are especially useful for resellers, retailers, and annual/season passes.
- Example: For a Red Bull Q1 2025 campaign, avoid
RBQ15
(1 could be an I or l). UseRBQA5
where A stands for Q1. For Q2, useRBQB5
.
Using Retailer Module
System-Generated Codes: If you have the Retailer module, the system can generate codes with prefixes automatically.
Without Retailer Module
Manual Generation: Create codes using Excel, Google Sheets, or online tools and upload the file.
Vouchers, Coupons, and Gift Voucher Codes
- Consistent Prefixes: Similar principles apply. For gift vouchers, include the value in the prefix (e.g., 10E0433243 for 10 Euro). For vouchers, include the campaign in the prefix (e.g., TES0433243 for Tesco).
- Avoid Confusion: Using values and campaign names in the prefix helps avoid misinterpretation (e.g., 10E0433243 is clearer than E100433243, and TES0433243 is clearer than TESCO0433243).
Pro Tips for Efficient Code Management
Use Note Option: Adding notes to codes helps in BI tools, making it easier to identify codes and their associated campaigns.
Example: "Marketing campaign Red Bull Q1 2025" in the notes.
